1. Introduction

Purpose of the Policy:

This policy provides guidelines and standards for all employees of R-Code Technologies, ensuring a safe, productive, and professional work environment. It defines the company’s expectations regarding conduct, responsibilities, and operational procedures.

Our mission is to ensure business growth, solve real-life problems, bring ideas to life, and train new tech talent. Our vision is to be a leading technology partner across design, development, marketing, and customer service.

2. Client Policy

Client Relationship Standards

R-Code Technologies is committed to maintaining strong, transparent, and mutually beneficial relationships with all clients. Every team member must uphold professionalism, responsiveness, and integrity during every interaction.

Client Communication

All communication with clients must be clear, respectful, and timely.

Only authorized personnel may discuss project details, pricing, or confidential information.

Employees must not make commitments or promises that are not officially approved by management.

Client Confidentiality

All client information—project details, business data, personal information, and intellectual property—must remain confidential at all times.

Sharing client data with unauthorized individuals or third parties is strictly prohibited.

Any suspected data breach must be reported to management immediately.

Project Delivery and Quality Assurance

All deliverables must meet agreed-upon specifications, timelines, and quality standards.

Internal reviews and quality checks must be completed before handing deliverables to clients.

Any delays must be communicated early, along with a revised and realistic timeline.

Client Feedback and Complaint Resolution

Clients are encouraged to give feedback on ongoing or completed projects.

The Customer Service Department must acknowledge and document complaints before transferring them to the relevant department.

All complaints must be investigated promptly, and corrective actions must be implemented where necessary.

Client Data Security

All digital products and systems must follow industry-standard security protocols.

Secure channels must be used when sending, receiving, or storing client files.

Storing confidential client information on personal devices is strictly prohibited.

Ethical Standards in Client Dealings

Employees must not engage in bribery, favoritism, or any unethical practices.

Transparency is mandatory in all pricing, contract negotiations, and project communications.

Any conflict of interest must be disclosed to management immediately.

Client Payment Policy

Payment Platform

All payments for services, products, and training must be made directly through the official R-Code Technologies website or other authorized company channels.

Payment Terms for Services

Clients are required to make a minimum 50% upfront payment before the commencement of any project or service.

The remaining 50% must be completed upon delivery or as stated in the project contract.

Payment Terms for Student Class Registration

Students registering for training programs must make at least 75% upfront payment before gaining access to classes, materials, or mentorship.

Refunds & Adjustments

Refund requests must align with the company’s refund policy and are subject to administrative review.

Refunds are not guaranteed after work has begun, especially in cases where resources have already been deployed.

Outstanding Payments

Failure to complete payment may result in delayed delivery, service suspension, or additional late fees as stated in the service agreement.

Payment Confirmation

Clients will receive automatic or manual payment confirmation receipts through email or their registered dashboard.

3. Employment Policy

5. Workplace Policies

Working Hours and Attendance:

Standard working hours are from 9:00 AM to 6:00 PM, Monday to Friday. Punctuality and regular attendance are mandatory.

Remote or flexible work may be granted based on role, department, and management approval. Employees are expected to remain productive and reachable during work hours.

Employees should maintain a professional appearance suitable for business meetings, client interactions, and virtual presence.

6. Compensation and Benefits

Salary Structure:

Salaries are competitive and based on role, experience, and performance.

Bonuses and Incentives:

Performance-based bonuses may be awarded periodically to recognize outstanding contributions.

Leave Policy:

7. Technology and Security Policy

Use of Company Equipment:

10. Disciplinary Action Policy
